This document outlines the terms and expectations for clients booking travel through Helen Edwards-Jackson, Cruise Planners.
All bookings are subject to the following policies, whether or not this form is signed. Booking and/or payment for travel services indicates acknowledgment and acceptance of these terms.
**1. Client Responsibility**
Clients are responsible for reading and understanding all travel documents provided by suppliers. This includes, but is not limited to, cruise contracts, airline policies, hotel terms, and excursion requirements. Failure to review these documents may result in loss or interruption of travel services, for which Helen Edwards-Jackson, Cruise Planners is not liable.
**2. Travel Insurance Waiver**
Travel insurance is offered to all clients and is strongly recommended. Clients may purchase coverage through our partner Allianz up to 24 hours before travel. Clients also have the option to purchase insurance directly via our Client App. Refusal to purchase travel insurance requires a signed waiver. If insurance is not purchased, clients acknowledge that there is no coverage for cancellations, delays, illness, or emergencies once travel begins. We cannot assist with claims or issues if no insurance has been purchased.
**3. Disclosure of Medical, Dietary, or Special Needs**
It is the client's responsibility to disclose any medical conditions, dietary restrictions, pregnancy status, or mobility/accommodation needs at the time of booking. Failure to do so may result in denied services or additional fees. Cruise lines and other vendors have specific policies related to health and safety, which we do not control.
**4. Excursions & Third-Party Vendors**
We may coordinate or book third-party excursions at the client's request. However, Helen Edwards-Jackson, Cruise Planners is not responsible for any incidents, accidents, or dissatisfaction that occur during those excursions. All third-party vendors operate independently, and clients agree to hold us harmless for any liabilities that may arise.
**5. Resolution of Travel Concerns During Travel**
All travel concerns, including room changes, service complaints, or disruptions, must be reported immediately to the appropriate vendor during the trip. Most vendors will not honor post-travel complaints unless the issue was documented during the travel period. You understand that in your best interest, you should seek a resolution directly with the vendor during travel.
*6. Legal Indemnity**
By booking through our agency, clients agree to indemnify and hold harmless Helen Edwards-Jackson, Cruise Planners from any losses, delays, injuries, or other issues arising from failure to follow travel requirements, read travel documents, or secure proper insurance coverage.
Additional Disclosures and Common Concerns -
**ID Verification Requirement
Clients must provide valid, government-issued identification that matches the name used for all bookings and payments. We strongly recommend using the exact name listed on your official travel documents (e.g., passport or REAL ID). We are not responsible for errors or mismatches in documentation. Name corrections may incur vendor-imposed fees, and travel interruptions can occur if proper documentation is not presented at check-in.
**Authorization Required for Payments - We require authorization form to process a payment on your behalf. All payments for travel are processed directly to the vendor, not to Cruise Planners.
**Airline Delays & Missed Connections**: We are not responsible for flight issues. Clients must arrive early for cruises or international travel. We only book flights through vendor bundle packages.
**Name Errors**: Clients must verify that their names match passport and ID documents.
**Passport/Visa**: Clients must confirm valid documents for international travel. We do not verify individual requirements.
**Non-Refundable Payments**: Refunds are subject to each supplier's policy. Booking implies acceptance of these terms.
**Price Fluctuations**: Prices may change after quotes. We cannot honor future discounts unless the supplier allows rebooking.
**Room Requests**: Room types and views are not guaranteed unless confirmed by the vendor in writing.
**Group Travel**: Group rates are subject to availability. Most are based on double occupancy. Balcony or premium cabins are often excluded. Rooming lists and final rates are at the discretion of the vendor.
**Quotes Are Estimates**: All quotes provided are estimates and not guaranteed until booked and confirmed by the vendor.
